Create and update processes in Ardoq ShiftX

How to create new processes and update existing ones in Ardoq ShiftX.
Create a new process
From the dashboard:
- select the + button in the top left
- a new window will open
- give the process a clear name using this suggested format: [School or Unit or Project]_[Process reference]_[Process name]
Example: Registry_R01_Student registration
This makes processes easier to find and understand.
Set a process owner
When you create a process, set a process owner. This usually starts as the person creating the process. It can be changed later to the person responsible for the process.
Select Create process to continue.
Add a description
Add a short description under the process title.
The description should explain:
- what the process does
- where it starts and ends
- why it exists
This helps readers understand the process quickly.
Tag the process
Tags help people find processes.
From the right‑hand panel:
- select the + button
- choose the correct School or Unit
- add a Test tag for practice or training processes only
Build the process
Your process should show how the work happens now.
Include:
- real steps
- roles or teams
- systems and tools
- information used
- known issues
Review the process with people who do the work to check it is accurate.
Use AI to create a draft (optional)
You can use AI to create a first draft of a process.
To use AI:
- select Generate with AI from the left‑hand panel
- select a prompt, type or paste steps, or upload images or voice using the icons
The AI creates a draft that you can edit and improve.
Add steps manually
Use the + button to add:
- steps
- decisions
- parallel paths
- ²õ³Ü²ú‑p°ù´Ç³¦±ð²õ²õ±ð²õ
Every process starts with a Start and ends with Success. You can add other endings if needed.
Add components to steps
Components show who does the work and what tools are used.
To add a component:
- click into the step text
- type @
- choose a role, team, system or information item
This links the step to reusable components in Ardoq.
Update or remove steps
To change a step:
- right‑click on the step
- choose to update, duplicate or delete it
