Share and export processes from Ardoq ShiftX

Learn how to share processes and export them for review, feedback or use in documents.


Before you share or export

Before sharing a process, check that it is clear and up to date.

Make sure:

  • step names and descriptions are easy to understand
  • roles, systems and information are correct
  • the process reflects how the work actually happens

Share a process

Sharing is best when people need to view or collaborate on the latest version online.

Use sharing when:

  • the audience already has access to ShiftX – see Request access to Ardoq ShiftX
  • the process may change
  • people need to explore the process in detail

To share a process:

  1. open the process in
  2. copy the webpage link
  3. send the link to your audience

Any updates you make will appear automatically through the same link.


Export a process

Exporting a process lets you create a fixed copy of what you see on screen. This is useful when you need an image for review, feedback, documents, presentations or offline use.

There are two ways to export a process, depending on whether it is a draft or published.


Export a draft process

Use this when you want a quick visual to review or share for feedback.

Follow these steps:

  1. open the process in draft view
  2. select the three dots to the right of Publish
  3. select Export image
  4. choose a file format, PNG or SVG
  5. select Export file

The file is saved to your downloads folder. The export shows exactly what is on screen, including layout and focus.


Export a published process

Use this when you need a confirmed snapshot of a finished process.

Follow these steps:

  1. open the published process
  2. select the three dots in the top right‑hand panel
  3. select Export
  4. choose Export as Image or Export as JSON

The export shows exactly what is on screen at the time of export.


Embed a process

Embedding lets you show a live process inside another webpage, such as guidance or training.

Use embed when:

  • you want people to explore the process without leaving the page
  • the process should stay up to date automatically

Only published processes can be embedded.

To embed a process:

  1. open the published process
  2. select the three dots in the top right‑hand panel
  3. select Embed process
  4. copy either the Embedded URL or the iFrame code

Choosing whether to share, embed or export

  • share for live viewing and collaboration
  • export for fixed copies
  • embed for live processes inside other pages

Choose the option that best fits how the process will be used.
