Digitisation service

Anyone can request digital reproductions of items held in University Collections.

You can access digital and already digitised collections using the collections search. In most cases, you should be able to request copies of images for non-commercial use at no charge.

You can also contact us if you want to:

request new digitisation of collection items (either professional or low-quality snaps)
order images for commercial use
request access to digitise audio visual content that is not available to view on our catalogue. The price and timescales for this will be made available on request.

Where restrictions or fees apply due to the item's condition, data protection, copyright, or other agreements, you will receive a quote stating this.

Free services
- Supply of existing files
- Self-service photography in the reading room
- New photography for up to one hour (staff and students)
- Up to 10 smartphone photographs for answering research enquiries
Paid services
- New professional photography: £30 per hour. A minimum charge of half an hour applies.
- More than 1 hour of new photography (staff and students): £15 per hour.
- More than 10 smartphone photographs for answering research enquiries: £10 per hour, with a minimum charge of one hour.
- Exhibition or filming support: £100 per hour.
The quality of smartphone images is unlikely to be suitable for publication.

Urgent orders are processed at the University's discretion, and a higher fee will apply. Email your timescale to unicolls@st-andrews.ac.uk. This will be factored into your quote.

Timescales

Quotes will be sent within 10 working days.

It will take up to 20 working days to digitise the items after you accept your quote. Some items may take longer when remedial conservation work is required before imaging. An estimated timescale will be included in your quote.
Out of copyright

If an item is out of copyright, you can use it for free. No restrictions, permissions or fees apply.

If you are unsure if something is in or out of copyright, email copyright@st-andrews.ac.uk to check.

Taking a new like-for-like photograph or scanning something out of copyright does not create new copyright.

University copyright
- Non-commercial use: Free
- Commercial use: £100 per image
The University typically owns the copyright of items in University Collections, when:
- a staff member has created the item as part of their job, for example, University records or photographs taken by staff.
- copyright in the item has been assigned to the University, for example, as part of a donation or purchase agreement.
To check if the University owns the copyright of an item or collection, email unicolls@st-andrews.ac.uk.

Third-party copyright

People or organisations outside the University (third parties) typically own the copyright for:
- publications
- manuscripts, artworks or photographs purchased or donated by third parties.
The price will be at the third party's discretion. The third party may approve or decline any requests to use images and may charge a licensing or permission fee.
